Artificial Intelligence [AI] Use

CSG Computer Services Ltd provides approved artificial intelligence tools, including Microsoft Copilot, for business use. These tools are deployed in accordance with enterprise data protection [EDP] principles and operate within defined EU data boundary controls to ensure that company and customer data is handled securely and in compliance with regulatory requirements.

Other AI tools, including personal tools or those not yet formally approved, may be used to support legitimate business activities where they add value or are necessary for a role to be carried out effectively. Whenever any such tool is used, users must ensure that no identifiable or sensitive company, customer, or third-party information is entered into it. This includes, but is not limited to, names, email addresses, physical addresses, IP addresses, authentication credentials, financial information, or any other data that could directly or indirectly identify an individual, organisation, or internal system.

CSG is actively developing its own AI capabilities, which will in time become the standard tools for these tasks. As that provision matures, the range of approved tools will be defined more tightly and reliance on non-approved alternatives will be reduced accordingly. In the meantime, all use of AI tools must comply with company policies relating to data protection, confidentiality, and information security. Any misuse of AI services that results in the inappropriate disclosure or handling of sensitive information may be treated as a serious breach of company policy.

Use of this system by contractors or third parties constitutes acceptance of these terms and subjects such users to the same conditions, restrictions, and monitoring as employees.
