Meetings And Calling

Microsoft teams have added speaker attribution to live captions, so that you can see who is speaking along with exactly what it is they are saying. This helps to assist you to fully grasp what they are saying and makes meetings more memorable and understandable for all employees.

You can also now “Spotlight” an individual video participant for everyone in the meeting. What does this mean? It means that this individual will be shown on everyone’s screen who is in the meeting and they will be fully focused on this person only. Additionally, you can prevent attendees from unmuting themselves during the meeting and enable specific attendees to unmute themselves when they raise their hand with a query or question. This can help to focus the meeting more without the chance of interruption.

Microsoft Whiteboard’s read-only mode  is now available in Teams allowing for more flexibility for you to either present the digital whiteboard in ‘read-only’ mode or you can allow others to edit and collaborate when given access to it. This can help to gain input from all participants when needed, and allows them to be able to focus when a need for participation is not needed.

Recording your meetings and calls is also now a viable option! You also have the opportunity to store the saved recordings in OneDrive and SharePoint which will allow you to share these with guests or external users. This is also good as a training mechanism whereby you can demonstrate what to do and then share the recording with employees who may need to refer back to it, thus enhancing productivity.

Changes in IP Video Policy (new audio and video policies). Microsoft Teams are updating their meeting policies so that IT administrators have increased control over how the video is managed in teams meetings. This means you can prevent both outgoing and incoming calls/videos whenever needed.

Chat And Collaboration

  • New Offline Status: this allows for others to realise that you are not active and do not wish to be disturbed giving them the status that you are ‘offline’. You can change this at any given time where you do not wish to be interrupted.
  • Language Proofing: You can communicate using multiple languages in Microsoft Teams. Then you can adjust spell check to suit the language you are currently communicating in. This enables you not to worry about spelling errors even when speaking in a different language – perfect for interacting with those all across the globe.
  • Templates for creation of a New Team: with customisable templates now available, including event management, crisis response as well as industry-specific ones, you can choose which template suits your team and set it as the default.
  • File Sharing Experience: You can now create shareable links for any file stored in Teams and directly set the appropriate permissions. Additionally, you can also set permissions for files stored in SharePoint or OneDrive while composing a private chat etc.
